style=\"text-align: justify;\">Seychelles Ports Authority (SPA) is seeking to recruit qualified and experienced personnel for the below post: <strong>Personal Assistant to Harbour Master<\/strong><\/p>\n<p style=\"text-align: justify;\">The role of the Harbour Master&#8217;s Personal Assistant is to assist the Office of the Harbour Master in daily administrative tasks and duties.<\/p>\n<p style=\"text-align: justify;\">The primary function of the Harbour Master personal assistant is to work with the Office of the Harbour Master and Deputy Harbour Master, providing efficient administrative support and to ensure effective communication is passed on to all following sub-sections:<\/p>\n<ul style=\"text-align: justify;\">\n<li style=\"text-align: justify;\">Marine Operations<\/li>\n<li style=\"text-align: justify;\">Port Operations<\/li>\n<li style=\"text-align: justify;\">Technical Operations<\/li>\n<li style=\"text-align: justify;\">Pilotage<\/li>\n<li style=\"text-align: justify;\">Port Control<\/li>\n<li style=\"text-align: justify;\">Operations Business Secretariat<\/li>\n<li style=\"text-align: justify;\">Administration (Accounts, Procurement, HR, Business Development, Projects and Strategy)<\/li>\n<\/ul>\n<p style=\"text-align: justify;\"><strong>Main Duties &amp; Responsibilities:<\/strong><\/p>\n<p style=\"padding-left: 40px; text-align: justify;\">\u2022 Assist the Harbour Master in drafting and proof reading standard form templates, official documentation and reports.<br \/>\n\u2022 Represent the Harbour Master at meetings internally and externally as required and report to the Harbour Master appropriately.<br \/>\n\u2022 Answer queries by the stakeholders and clients.<br \/>\n\u2022 Liaise with stakeholders\/Agent from others Organisation.<br \/>\n\u2022 Respond to email, prepare reports, letters and presentations with statistical data as assigned.<br \/>\n\u2022 Schedule in house\/external events and meetings from internal departments and external stakeholders.<br \/>\n\u2022 To maintain an accurate record of all documentation which go through the Harbour Master Office.<br \/>\n\u2022 To log and maintain payment records on a daily basis.<br \/>\n\u2022 Taking down minutes of meeting for the Harbour Master Office.<br \/>\n\u2022 Merging and verification of all monthly and quarterly reports from all sub sections.<br \/>\n\u2022 Any other duties as may be determined within the general scope of the post by the Harbour Master or Deputy Harbour Master.<\/p>\n<p style=\"text-align: justify;\"><strong>Qualification &amp; experience:<\/strong><\/p>\n<p style=\"padding-left: 40px; text-align: justify;\">\u2022 Diploma in Office Management or higher and relevant experience in Administrative or related fields.<br \/>\n\u2022 5 years\u2019 satisfactory relevant experience as a senior private secretary or higher.<br \/>\n\u2022 Experience with Office Management software (Minimum of Microsoft Office)<\/p>\n<p style=\"text-align: justify;\"><strong>Knowledge &amp; Abilities<\/strong><\/p>\n<p style=\"padding-left: 40px; text-align: justify;\">\u2022 Excellent communication and interpersonal skills for customer relations and team coordination.<br \/>\n\u2022 Excellent written and verbal communication skills<br \/>\n\u2022 Familiarity with legal provisions and Maritime Law<br \/>\n\u2022 Sound management in accounting and financing<br \/>\n\u2022 Ability to work independently<br \/>\n\u2022 Excellent report writing skills<br \/>\n\u2022 Excellent record
