Seychelles Ports Authority (SPA) is seeking to recruit qualified and experienced personnel for the below post: Personal Assistant to Harbour Master
The role of the Harbour Master’s Personal Assistant is to assist the Office of the Harbour Master in daily administrative tasks and duties.
The primary function of the Harbour Master personal assistant is to work with the Office of the Harbour Master and Deputy Harbour Master, providing efficient administrative support and to ensure effective communication is passed on to all following sub-sections:
- Marine Operations
- Port Operations
- Technical Operations
- Pilotage
- Port Control
- Operations Business Secretariat
- Administration (Accounts, Procurement, HR, Business Development, Projects and Strategy)
Main Duties & Responsibilities:
• Assist the Harbour Master in drafting and proof reading standard form templates, official documentation and reports.
• Represent the Harbour Master at meetings internally and externally as required and report to the Harbour Master appropriately.
• Answer queries by the stakeholders and clients.
• Liaise with stakeholders/Agent from others Organisation.
• Respond to email, prepare reports, letters and presentations with statistical data as assigned.
• Schedule in house/external events and meetings from internal departments and external stakeholders.
• To maintain an accurate record of all documentation which go through the Harbour Master Office.
• To log and maintain payment records on a daily basis.
• Taking down minutes of meeting for the Harbour Master Office.
• Merging and verification of all monthly and quarterly reports from all sub sections.
• Any other duties as may be determined within the general scope of the post by the Harbour Master or Deputy Harbour Master.
Qualification & experience:
• Diploma in Office Management or higher and relevant experience in Administrative or related fields.
• 5 years’ satisfactory relevant experience as a senior private secretary or higher.
• Experience with Office Management software (Minimum of Microsoft Office)
Knowledge & Abilities
• Excellent communication and interpersonal skills for customer relations and team coordination.
• Excellent written and verbal communication skills
• Familiarity with legal provisions and Maritime Law
• Sound management in accounting and financing
• Ability to work independently
• Excellent report writing skills
• Excellent record keeping capability
Remuneration: Based on qualification and experience
